What it covers
This service defines the inspection point between receiving and inventory action. It covers identity checks, completeness, visible damage, function checks where appropriate, packaging assessment and condition grading.
Grading must be clear enough for the next operator to act. A grade is not a universal truth. Its meaning depends on product category, sales channel, warranty position, safety considerations and the organisation’s approved disposition rules.
Key process steps
- Secure the item record and match it to the received unit.
- Check accessories, seals, manuals, packaging and visible condition.
- Perform the approved functional check for the product category.
- Record evidence using defined grades and exception codes.
- Route to restock, refurbishment, repair, rework, secondary sale or recycling review.
When it is useful
Use recovery inspection when returned stock is being written off too early, grading varies between sites, or resale teams cannot trust condition records. It is also useful when packaging damage and product damage are being treated as the same event.
Common issues
Typical issues include inconsistent grade language, missing serial numbers, accessories separated from units, tests performed without a recorded result and packaging that cannot protect the product again. For electrical, medical, cosmetic or safety-sensitive goods, specialist requirements may apply.
Advantages and limitations
A defined inspection gate improves disposition consistency and gives redistribution teams better inventory information. It cannot guarantee a product is suitable for every market or channel. Repair authorisation, safety review, warranty interpretation and environmental decisions may require separate expertise.
Selection criteria
Set the minimum inspection fields, evidence standard, grade definitions, quarantine triggers and approval rights. Decide whether packaging is recoverable, replaceable or part of the grade. Keep operational grades separate from customer-facing descriptions.
Good for
Retail categories with meaningful resale value, complex accessories, serialised products or multiple recovery routes. It also supports sites that need a repeatable handoff between warehouse and technical teams.
What to know
Recovery is a decision system, not a cosmetic check. The safest route may be a controlled hold. Requirements vary by country and product category.
